SportFest 2020 - Exhibitor Agreement
CONTRACT PROVISIONS
- 10ʼ x 8ʼ space including drape (regular booths)
- One 8ʼ table, 2 chairs
- Early bird pricing is in effect until March 31, 2020
- Cancellations must be in writing
- Exhibitors who cancel prior to May 1st, 2020 forfeit $25
- Exhibitors who cancel on or after May 1st, 2020 forfeit $100
- Exhibitors in violation of Exhibitor Agreement may not be invited to future SportFest events
- SportFest management reserves the right to terminate or limit any demonstrations or displays deemed inappropriate or objectionable due to noise, fumes, exhaust, smoke or are detrimental to the character and nature of SportFest
- SportFest management reserves the right to restrict the distribution of printed material for solicitation deemed inappropriate or offensive
- SportFest management reserves the right to decline exhibitor spaces & applicants
- Only electricians contracted by Servus Sports Centre make electrical service connections or repairs; no exceptions
- Exhibitor is responsible for obtaining any/all insurance related to participation and requirements of the exhibit at SportFest. Neither SportFest, its officers nor agents will be held responsible or liable for any manner of loss or damage that may occur to property or persons during times of move-in and/or move-out. Exhibitors are responsible for all their materials and should take adequate security measure at all times.
- SportFest management requires all exhibitors to submit a certificate of insurance via email to sportfest@lethbridgesportcouncil.ca prior to the event.
- SportFest management will attempt to accommodate all requests for space but due to limited availability and selection procedures, will not guarantee space allocations and reserves the right to make changes as necessary. Acceptance of payment at time of registration does not guarantee location at SportFest
- Requests for access to power must be made in advance as this directly affects the assignment of booth space
- Your booth must be staffed at all times unless authorized by SportFest management (ie. static, un-staffed display). Exhibitors leaving their booth unattended may not be accepted at the next SportFest. NOTE: SportFest management is not responsible for the protection of authorized un-staffed booths. SportFest management will not be responsible for any damages or loss.
- Transfer of registration is not permitted
- Sub-letting and sharing of exhibitor space requires prior approval from SportFest management. Like organizations wishing to 'share' a space can contact organizers for a custom space and price.
- Exhibitors must contain all materials, demonstrations, and promotional giveaways and activities within the boundaries of their exhibit space; windshield flyers etc. are prohibited
- Policy of the Lethbridge Fire Prevention Bureau governing displays and exhibits under the Alberta Fire Code will be adhered to
- Heating devices are not allowed and are against fire regulations
- No animals are allowed in booths, or on the grounds unless authorized
- Exhibitors wishing to sell/distribute food items require prior approval from SportFest management
- No alcoholic beverages are permitted at any exhibitor site
- Public Health Act Food Regulations will be adhered to
- Raffle draws are permitted if gaming license is provided to Management. Door prizes and 'swag' giveaways are encouraged.
- SportFest management reserves the right to make changes, additions or deletions to event regulations at any time
- Propane cylinders are not permitted within the building
- Smoking is not permitted at any time within Servus Sports Centre
- Extension cords are not provided
